Privacy Notice

This notice explains how Always Accounted, Inc. handles information through our website, membership, portals and related communications. It applies to current and former customers. A professional firm separately engaged to perform your work may provide its own privacy notice; this notice does not speak on that firm's behalf.

Information we collect

We collect information you give us, including your name, contact details, account information, service needs, questions, replies and documents supplied for agreed work. Depending on the engagement, documents can contain identity, tax, business, income, expense and other financial information.

We also keep records of your transactions and interactions with us: purchased services, payment references and status, membership dates, appointments, approvals, work history and support communications. Stripe processes payment details; our portal uses payment references and status rather than storing your full payment-card details.

Our public enquiry form is for general information only. Do not enter Social Security numbers, tax identification numbers, financial account numbers, passwords or complete tax documents. Use the approved secure portal when the team requests documents.

Why we use information

We use information to review enquiries, establish and administer accounts, arrange and deliver agreed services, process payments, answer questions, schedule appointments, communicate about your work, maintain business records, prevent misuse and meet applicable legal obligations.

Who receives information

Access is limited to authorized staff and service providers for their functions. Microsoft supplies hosting, identity, database and document storage, email and scheduling services. Stripe supplies payment processing and billing services. Where relevant to your agreed work, information is provided to the professional service provider identified in your engagement or to a connected accounting service you authorize. We may disclose information when permitted or required by law, including to respond to legal process or address fraud and security incidents.

We do not disclose nonpublic personal financial information about customers or former customers to other companies except to administer or perform requested transactions and services, with an applicable authorization, or as otherwise permitted by law. The same restrictions apply after your relationship with us ends.

We do not submit customer documents to AI tools, provide customer details to third parties for advertising, or outsource customer document work overseas. A provider's US headquarters does not necessarily mean every part of its infrastructure or support is located in the United States; we do not make that representation.

Website technology

Sign-in uses authentication cookies. Website features use browser session storage for preferences and campaign attribution, and we record first-party usage counts. Hosting and security systems process technical information such as IP addresses and request details; rate limiting uses a protected hash derived from IP address and browser information. Some public pages load fonts from Google, which receives the connection information needed to serve them.

Our website guide follows predefined rules; it is not an AI service that receives your documents. Google Analytics may run on public website pages only after you choose “Allow analytics.” We send the public page path without its query string and do not send portal activity, form contents, names or email addresses to Google Analytics. Your choice is stored in your browser and can be changed using “Analytics choices” in the website footer. Meta Pixel is not currently enabled.

Protecting information

We use encrypted connections, sign-in and access controls, and protected document storage. Portal permissions limit which records a customer can access; staff access is restricted to authorized accounts and roles. No online service can guarantee that a security incident will never occur. Keep your sign-in details private and tell us promptly if you suspect unauthorized access.

Keeping records and handling requests

We retain information for service delivery, account administration, legitimate business records and applicable legal or professional obligations. Canceling a membership does not automatically delete billing, tax, service or audit records. A request to delete information is reviewed against those needs and any applicable legal rights; records under a legal retention obligation may need to be kept.

For access, correction, deletion or other privacy requests, email info@alwaysaccounted.com with the subject “Privacy request.” We may verify your identity before releasing or changing records. Do not attach sensitive financial or identity documents to ordinary email; we will arrange an appropriate verification method if needed.

Updates and contact

We will identify material changes with an updated effective date and provide any notice or choices required by applicable law. You can retain this notice using your browser's print or save function and request a copy by email.
