Getting started

New here? Start with Access.

What Always Accounted is, how Access works and how to join.

What is Always Accounted?

Always Accounted is a tax preparation and bookkeeping service, not a CPA firm. Our tax work is led by an Enrolled Agent. We help individuals and small businesses with tax returns, bookkeeping, tax notices and the paperwork around them. Everything starts with Access, our $9.99 monthly membership.

How does Access work?

Access is $9.99 a month. It includes one written question or one 10-minute call with our team each billing month, on one topic. Written answers come by 6:00 PM Eastern Time on the next business day. An unused month does not roll over. Access is also the membership you need before buying individual services, and every bookkeeping and tax package already includes it, so you never pay for it twice. More about Access.

How do I join?

On the Start today page, choose Always Accounted Access, or a bookkeeping package that already includes it. You pay by card on Stripe’s secure checkout; card details are collected by Stripe, not stored on our website.

Right after payment you get a welcome email with a Set up my portal button. Setup takes about five minutes: create your sign-in, then answer a few short Getting Started questions about you and what you want help with first. Watch the video: Join Access and sign in.

I’m not sure which service I need.

That’s fine. For bookkeeping, Find my bookkeeping fit asks seven short questions and suggests a package. For tax returns, notices, cleanup or anything else, use the custom intake: describe what you need and the team replies about the scope, timing and price. No payment is taken, and no work starts, until you approve.

When is the team available?

Office hours are Monday to Friday, 9:00 AM to 5:30 PM Eastern Time, excluding United States federal holidays. Written questions are answered by 6:00 PM Eastern Time on the next business day, and 10-minute calls can be booked Monday to Friday, 9:30 AM to 5:30 PM Eastern. Email info@alwaysaccounted.com, or call (833) 201-2196 toll-free or (215) 201-2977 in Philadelphia.

What should I never send by email or on public forms?

Social Security numbers, bank or card account numbers, passwords and complete tax documents. Public forms and ordinary email aren’t the place for them. After you join, upload records in Documents in your portal instead.

Is there a free trial or an annual plan?

No. Billing is monthly, in advance, with no minimum term, no annual plan and no free trial. You can cancel in your portal; cancellation takes effect at the end of the current paid billing period.

Is this help available in Spanish?

Yes. This Help Center, the glossary and the video guides are also in Spanish: Centro de ayuda. The website and the member portal themselves are in English.

Your member portal

Sign in and find your way around.

Signing in with a one-time code, and what each part of the portal is for.

How do I sign in?

Go to www.alwaysaccounted.com/portal and enter the email address on your account. There is no password: Microsoft, which runs our secure sign-in, emails you a one-time code. Enter the code and your portal opens. The first time, use the Set up my portal button in your welcome email.

I didn’t get the sign-in code.

Wait a minute, then check your spam or junk folder for an email from Microsoft. Make sure you typed the email address on your account, or start the sign-in again to get a new code. Still nothing? Email info@alwaysaccounted.com or call (833) 201-2196 and we’ll help. Never share your code with anyone.

What is each section of the portal for?
  • Overview: your question or call for the month, its deadline and the team’s reply.
  • Services: request work, compare packages and review quotes.
  • Schedule: book a paid 30-minute consultation.
  • Documents: upload files securely and find files the team shares with you.
  • Billing: your plan and payments, and secure billing for your card, invoices and subscription.
  • Help & glossary: definitions, your question history and the portal tour.
  • Account: your contact details and profile.
Can I take the portal tour again?

Yes. Open Help & glossary and choose Take the portal tour. The tour shows each section in a few short steps. Watch the video: A quick tour of your portal.

How do I update my details?

Open Account to see your profile and change your contact details, then save. If something can’t be changed there, email info@alwaysaccounted.com.

I use a shared computer. How do I sign out?

Choose Sign out when you finish. It signs you out of Always Accounted on that device, including the Microsoft sign-in we use, so the next person to sign in there needs their own email code.

What emails will I get from the portal?

Short notices that something happened, with a link to sign in: for example, when we receive your question, when your answer is ready, when the team shares a document or asks for a clearer copy, and your payment receipts. For your privacy, these emails don’t include what you wrote, our answer or your documents; you read those in the portal.

Questions and calls

Ask a question or book a 10-minute call.

Access includes one written question or one 10-minute call with our team each billing month. Here is how to use it.

What counts as one question or one call?

One topic. You can give background and ask about that one thing. If a reply raises something we need from you, we say so, and the follow-up on that same topic is part of the same question. A new topic waits for your next billing month, or you can book a 30-minute consultation for $80 if it can’t wait.

How do I ask my question?

In Overview, find the card This month's question or call and choose Ask a written question. Pick a Topic, write your question under Your question and choose Send question. We email you to confirm we have it. Watch the video: Ask a question or book your 10-minute call.

When will I get my answer?

By 6:00 PM Eastern Time on the next business day. The exact deadline for your question shows on the card as Response due by. Business days are Monday to Friday, excluding United States federal holidays. When the answer is ready we email you, and you read it on the card in Overview or in your question history in Help & glossary. The reply is an answer, or a clear recommended next step, from our team.

How do I book my 10-minute call?

In Overview, choose Book a 10-minute call on the card This month's question or call. Pick a Day and a Time (times are Eastern), add a phone number if you like in case the Teams link doesn’t work, and choose Book this call.

Calls are on Microsoft Teams, Monday to Friday, 9:30 AM to 5:30 PM Eastern, booked at least 24 hours ahead, and the booking shows the open times over the next two weeks. Microsoft emails you the Teams invitation, and Join the Teams call appears on the card. The call uses the month instead of a written question. Watch the video: Ask a question or book your 10-minute call.

Can I cancel or move my call?

Yes, up to 24 hours before it starts. Choose Cancel this call on the card. This month’s question or call is yours again, and you can book a new time or ask a written question instead. Less than 24 hours before, the call can’t be cancelled in the portal and it counts as this month’s question or call; a missed call counts too. If something unexpected came up, email info@alwaysaccounted.com.

What doesn’t a question or call cover?

A written reply or a 10-minute call covers one topic. It doesn’t include a longer consultation, document or record review, calculations, research, form preparation, tax-return preparation, filing, agency representation or hands-on accounting work. If your question needs any of that, we send you the scope, estimated time and price first, and nothing starts until you approve.

When does my month reset?

Your question or call runs on your billing month, your subscription’s billing period, which isn’t necessarily a calendar month. The card in Overview shows the date under Resets. An unused month does not roll over.

Can I put documents or account numbers in my question?

No. Don’t include Social Security numbers, bank details, passwords or complete tax records in your question. If the team needs a document, upload it in Documents.

Why does my card say “Paused until payment”?

Your last payment didn’t go through, so the question is paused. Choose Update payment in Billing and update your card in secure billing.

Documents

Send and find your documents securely.

Upload records in the portal, never by email. Here is how uploads, screening and shared files work.

How do I upload documents?

Open Documents. In Upload a document, choose Choose files or drag them here, or drag files onto it. You can send up to 10 files at a time, each up to 25 MB, as PDF, CSV, XLSX, JPG or PNG. Pick a Document type, then choose Upload securely. Your files then appear in the Your documents list. Watch the video: Upload and find your documents.

Which document type should I pick?

The closest one: Accounting record (bank statements, receipts, reports), Tax document (tax forms such as a W-2 or a 1099), Identity document or Other. If none fits, choose Other.

Why can’t I open a file I just uploaded?

Every file is checked for viruses first. While that happens it shows Being checked for viruses. It can be opened in a minute or two. If screening finds a problem, the file is blocked and can’t be opened; upload a clean copy if the team still needs it.

My file has a password.

Our security screening can’t open password-protected files. Upload a copy without the password. Never send us the password itself.

How do I find a file?

In Documents, every file is in one list, Your documents: the files you sent and the files the team shared with you, grouped by year. Type part of a file name, a year or a type in the search box, or choose Filters and sort to narrow the list by Type, Year or who sent it.

How will I get finished documents from the team?

When the team shares a file with you, such as a finished return or a report, it appears in Documents and we email you to say a document is ready. The email doesn’t contain the file; sign in to view or download it.

The team asked for a clearer copy. What do I do?

We email you, and the Documents menu shows a count. Open the file marked Better copy requested; it says The team asked for a clearer copy. Upload a new one below. Upload the new copy right there. Watch the video: Upload and find your documents.

I got a letter from the IRS or my state.

Note the deadline on the letter first: asking for help does not stop the agency’s deadline. Ask the team about it with your monthly question or call, or request notice help. Notice review and response are an hourly service at $160 an hour, with the scope agreed first: Notices and audits. If the team asks for the letter, upload it in Documents. The glossary explains common letters, such as the CP2000 and the CP14.

Consultations

Book a 30-minute consultation.

A private session with our team, by video or in person.

What is a consultation, and what does it cost?

A private 30-minute session with our team, for a question that needs more than a written answer. It is $80 for Access members. New customers pay $89.99: the $80 session plus the first $9.99 Access month. The $80 is a one-time charge; Access then continues at $9.99 a month. About consultations.

Is it by video or in person?

Your choice. Meet by video on Microsoft Teams, or in person at our office in Wyncote, just outside Philadelphia. In-person sessions need at least 24 hours’ notice. The office address appears in your portal and in your confirmation email once your booking is confirmed.

How do I book?

Open Schedule. If you haven’t paid for a session yet, choose Unlock the calendar · $80 and pay on Stripe’s secure page. Then choose how you’d like to meet: Video call or In person. Pick an open time (shown in your device’s time zone) and choose Confirm this time. Microsoft sends the calendar invitation and reminders. For a video session, use Join Teams meeting in Schedule, or the link in your invitation. Watch the video: Book a consultation, by video or in person.

How do I get ready?

Think about the one thing you most want to settle, and have any related papers at hand. If the team asks for documents, upload them in Documents before the session. For an in-person visit, please arrive a few minutes early.

Can I reschedule or cancel?

Yes, with at least 24 hours’ notice. To move it, choose Choose a different time in Schedule; changes are available in the portal until 24 hours before the appointment. To cancel, email info@alwaysaccounted.com at least 24 hours before the start time. A timely cancellation is eligible for a full refund. A later cancellation, or a missed appointment, is generally not refundable, though we may offer a courtesy reschedule if an emergency comes up and you tell us promptly. Cancellation and Refund Policy.

What doesn’t a consultation include?

The session is for guidance and next steps. Hands-on work, such as preparing a return or fixing your books, is scoped separately before it begins.

Bookkeeping and tax care

Packages and professional services.

How bookkeeping packages, tax care and hourly work are priced and approved.

How do bookkeeping packages work?

Each package includes Access plus a set number of bookkeeping hours each month: Essential is $175 a month (1 hour), Growth is $525 a month (3 hours) and Established is $875 a month (5 hours). Included hours are for that billing month and don’t roll over. Packages are delivered in QuickBooks. Bookkeeping.

What if my books need more time?

Additional bookkeeping time is $43.75 per 15 minutes. The team explains the extra work and asks you to approve it before adding any time beyond your package.

My books are behind. Can you catch them up?

Yes. Catch-up and cleanup work is assessed first and billed by the time it takes, at $175 an hour, tracked in 15-minute increments. You get an estimate before work starts. Catch-up and cleanup.

Do I need QuickBooks?

Not to join, and not to ask questions. Bookkeeping packages are delivered in QuickBooks: if you already use it, we work in your file; if you don’t, setup and training are available as an hourly service.

How do Personal Tax Care and Business Tax Care work?

They spread the cost of your tax work into one monthly price, with Access included. Personal Tax Care starts at $25 a month and Business Tax Care at $149 a month. These are starting points: the annual scope (forms, states, businesses and so on) is confirmed after a short intake, and you approve the final price in writing before you enroll. Personal Tax Care · Business Tax Care.

Can you help with a tax notice or an audit?

Yes. Tax notice review, agency responses and tax audit support are $160 an hour for Access members. The team checks the agency, the deadline and the records needed, then confirms the scope before work starts. Tax audit support means help with a tax agency’s examination, not an audit of financial statements. Notices and audits.

Who does the work? Will I be working with a CPA?

Our team does, and our tax work is led by an Enrolled Agent. Always Accounted is not a CPA firm. For tax questions that is usually what you need: an Enrolled Agent specializes in tax and has the same unlimited rights before the IRS as a CPA. An Enrolled Agent is not an IRS employee, and Always Accounted is not affiliated with the IRS. If you ever need something only a CPA firm can provide, such as audited or reviewed financial statements, we will tell you. Compare the two credentials.

Are government filing fees included?

No. State, city, registration and other third-party fees are separate, and they are shown when the filing scope is confirmed.

Do you run payroll?

No. Always Accounted does not process payroll. Bookkeeping packages work around your payroll provider.

Billing

Billing, receipts and refunds.

How charges work, how to read your receipt and how to change or cancel.

How does billing work?

Access and monthly packages are billed in advance and renew automatically each month until cancelled. Consultations and bookkeeping packages are paid at checkout. Tax packages, cleanup, notices and registrations are charged only after you accept the scope and price. Payments are processed by Stripe; our portal doesn’t store your full card details.

Will I pay for Access twice if I have a package?

No. Every bookkeeping and tax package includes Access in the price shown, so there is no extra $9.99 charge.

How do I update my card, see invoices or change my plan?

Open Billing and choose Open secure billing. On Stripe’s secure billing page you can update your payment method, see invoices and change or cancel your subscription. Billing also lists your Recorded payments. Watch the video: Read your receipt and manage billing.

I no longer need my bookkeeping package. Can I keep Access?

Yes. Switch your plan to Access in Billing. The package continues until the end of the paid month, and your next renewal is $9.99. If you cancel instead, the package and Access both end at the end of the paid period. For a tax package, the engagement agreement says what happens when the package ends.

How do I cancel?

Cancel your subscription in secure billing from your portal, or email info@alwaysaccounted.com. Cancellation takes effect at the end of the current paid billing period: your membership stays available until then, and no further recurring charge is made. Amounts already paid for the current month are generally not prorated or refunded. Billing then shows the date your Access remains available through.

How do I read my receipt?

After each payment we email a receipt. Your first one is inside your welcome email; later ones arrive as Payment received: your Always Accounted receipt. A receipt shows the following. Some lines appear only when we have that information:

  • Receipt number and Date paid: which payment it is, and when it went through.
  • Paid to: Always Accounted, Inc.
  • Billed to: the name and email on your account.
  • What you paid for, and the amount charged: Amount paid, or Total paid on a receipt that lists each item.
  • Paid with: your card brand and its last four digits only.
  • The date of your next charge, shown as Next billing date or Next payment date, or Membership ends if you have cancelled.

A receipt that lists each item also shows the Subtotal, any Discount, tax and Account credit applied before the Total paid. To keep a copy, use View or download your receipt or Download a PDF copy. Watch the video: Read your receipt and manage billing.

Can I get a refund? I think I was charged by mistake.

It depends on what you bought. Monthly charges already paid are generally not prorated or refunded. A consultation cancelled at least 24 hours ahead is eligible for a full refund. For custom work, any unused prepaid amount is refundable if you cancel before work begins, less any third-party cost you approved in advance. We refund a duplicate or incorrect charge, a charge made after a cancellation took effect, or a paid service we can’t deliver.

Email info@alwaysaccounted.com from your account’s email address with your name, the invoice date, the amount and a short explanation. Approved refunds go back to your original payment method, and we email you a refund receipt. Read the full policy.

Security and privacy

How we protect your information.

What we do, what we never ask for, and how to spot a tax scam.

How is my information protected?

We use encrypted connections, sign-in and access controls, and protected document storage. Portal permissions limit which records each customer can see, and staff access is restricted to authorized accounts and roles. Every uploaded file is screened before it can be opened. No online service can promise that a security incident will never happen, so keep your sign-in private and tell us promptly if you think someone else got into your account.

What will Always Accounted never ask for by email?

We will never ask for passwords, Social Security numbers or bank logins by email. When the team needs a document, it asks you to upload it in Documents, in your portal.

Someone says they’re from the IRS. Is it real?

Be careful. The IRS says it starts most contacts through regular mail, and it does not call to demand immediate payment by gift card, prepaid debit card or wire transfer. If you’re unsure, don’t click links or give information; check directly with the IRS at irs.gov, or ask the team with your monthly question. Always Accounted is not part of the IRS and does not contact you on its behalf. How to know it’s really the IRS (irs.gov).

Is Ask AA an AI chatbot? Do you use AI on my documents?

Ask AA, the guide on our website, follows predefined rules; it is not an AI service that receives your documents, and it isn’t the place for personal financial information. Our Privacy Notice also says we do not submit customer documents to AI tools.

Do you track me on the website?

We count page visits ourselves. Google Analytics runs on public pages only if you choose Allow analytics, and you can change that any time with Analytics choices in the website footer. Portal activity, form contents, names and email addresses are never sent to Google Analytics.

How do I ask to see, correct or delete my information?

Email info@alwaysaccounted.com with the subject “Privacy request”. We may verify your identity first. Some records, such as billing, tax or service records, may need to be kept for legal or business reasons. Don’t attach sensitive documents to ordinary email.

Can you summarize the Privacy Notice, refund policy and Terms?

Briefly: the Privacy Notice explains what we collect, who receives it (for example, Microsoft for hosting, sign-in and email, and Stripe for payments) and your choices. The Cancellation and Refund Policy covers billing, cancellations and refunds. The Terms and Conditions are the agreement for using our services. These summaries are only a guide: the full documents control.

AKM Financial clients

Moving over from AKM Financial.

If you are an AKM Financial client, this is what changes and what doesn’t.

Why did I get an email called “Adam has set up your Always Accounted account”?

Adam set up a secure Always Accounted account for you. It’s where you send Adam documents and get your returns, instead of by email. The email comes from info@alwaysaccounted.com and has a personal Open my account button. To check it’s real, call Adam at AKM Financial on the number you already know. We will never ask for your Social Security number, bank details or passwords by email. Watch the video: For AKM Financial clients: your first login.

What changes, and what doesn’t?

Adam still prepares your taxes, and what you pay for your tax work doesn’t change because of this. What’s new is your secure account: one place to send Adam documents and get your returns. Your portal shows exactly what your account includes.

How do I sign in the first time?

Use Open my account in the email, and sign in with the email address it was sent to. There’s no password: Microsoft emails you a one-time code. Never share that code with anyone, Adam included. The link is personal and works once, by the date shown in the email; after that, sign in at www.alwaysaccounted.com/portal. The first time, you’re asked to accept Always Accounted’s Terms.

Do I need to fill in my details?

No. When you first sign in you’ll see Check your details.: check them, correct anything that’s out of date and save. A short tour then shows you around, and you can replay it any time from Help & glossary.

Can I still call?

Yes. Calls with Adam work as before: call (215) 201-2977. There is nothing to book or pay in the portal for that.

Where are my past returns?

If Adam has added your past returns or documents, they are in Documents. If you need something that isn’t there, ask Adam.

Can I ask questions in the portal?

Your portal shows exactly what your account includes. If it shows a question card, use Overview to ask your question or book a call. If it doesn’t, call (215) 201-2977 and Adam will help. Either way, you can upload documents in Documents.
